Job Description

Summary:

As an Executive Administrator, you will play a pivotal role in maximizing the time of the CEO and COO while promoting a positive company image. Acting as a liaison, you will maintain strong relationships between the CEO/COO, Japan HQ, and their respective executives and employees. As the right hand to the CEO/COO, you will grasp the company's strategy and ensure the smooth operation of daily business activities.

Job Responsibilities:

  • Gather and synthesize information from various departments, including sales, planning, general affairs, and accounting, while maintaining close communication with Japan HQ.
  • Create documents, occasionally requiring translation, and coordinate with other departments within the company.
  • Execute assigned projects, involving problem-solving, progress tracking, collaboration with multiple departments, and research.
  • Maintain confidentiality of sensitive information and handle it with discretion.
  • Assist in the preparation of presentations, reports, and other documents as required.
  • Prepare and organize materials for meetings, ensuring the executives are well-prepared and informed.
  • Perform other administrative tasks and special projects as assigned by the executives.
  • Ensure effective daily operations and suggest process improvements when necessary.

Qualifications:

  • Proven experience as an executive assistant or in a similar role, preferably in a corporate environment.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
  • Strong organizational and time management abilities, with meticulous attention to detail.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Ability to handle multiple tasks and priorities in a fast-paced environment while maintaining a positive attitude.
  • Discretion and confidentiality in handling sensitive information.
  • Bachelor's degree or equivalent experience preferred.

Language: Japanese - Native level, English - Business level
