Job Title: Administrative Assistant

Location: Orlando, FL (Downtown)

Job Summary: We are seeking a highly organized and professional Administrative Assistant to provide comprehensive support for our client's office. The ideal candidate will be proficient in administrative tasks, including office management, billing, scheduling, and social media support, while maintaining the utmost confidentiality and professionalism. This role requires an individual who is highly detail-oriented, tech-savvy, and able to juggle multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Office Management: Handle office supplies ordering (paper, water, etc.) for both Tallahassee and Orlando locations.
  • Billing & Financial Support: Use QuickBooks to assist with all billing processes and related tasks.
  • Reporting & Data Management: Generate and review reports using Microsoft Office Suite; proficiency in Excel and Word is essential.
  • Agenda Review: Review county meeting agendas and identify key client-related information, ensuring that the appropriate individuals are informed.
  • Social Media Support: Provide support in managing and updating social media platforms as needed.
  • Scheduling & Personal Assistance: Manage complex scheduling, including meetings and travel arrangements. Light personal planning and scheduling will be required.
  • Document Management: Set up channels and store documents in Microsoft Teams for streamlined collaboration and file storage.
  • Expense Reporting: Assist with the preparation and submission of all expense reports.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times, especially when interacting with elected officials who frequent the office.
  • Professional Presentation: Maintain an exceptionally professional appearance and demeanor at all times. The role requires excellent communication skills, both verbal and written.

Requirements:

  • Proven experience as an administrative assistant or in other supportive roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong experience using QuickBooks or similar billing software.
  • Exceptional organizational skills and attention to detail.
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
  • Ability to maintain confidentiality and professionalism when handling sensitive information.
  • Excellent communication skills, both written and verbal.
  • Highly reliable and capable of working independently.
  • Must be proficient in virtual communication platforms (Teams, Zoom, etc.).

Salary offered will be based on experience.

This role will be Temporary to Permanent.
